To help manage content throughout the site, Extranet provides options that control resource management functions in a component. So components that display resources, such as documents, links, or messages have security permissions that control who is allowed to view, publish, and manage resources in them. Depending on which component you're using, your resource management permissions might be different.
Components that display resources define the following types of permissions:
Reader — Readers are allowed to view resources in designated components.
Contributor — Contributors are allowed to submit resources to designated components. Depending on how the component is configured, contributors might also be allowed to update and delete content they own as well.
Content Manager — Content Managers are allowed to publish, update, and delete all content in designated components. Content Managers are also responsible for reviewing and approving content in a component that supports collaboration.
If you have contributor or content manager permissions on a component, you are allowed to publish content to it. However, before you publish content on your extranet, it is useful to have an understanding of the process. The following diagram illustrates a high-level overview of how to publish content using Click Extranet.
If you want to publish an external resource, such as a document, you can author it in any third-party tool you want. Documents can be authored in any number of formats, including HTML, Microsoft Word, Microsoft Excel, or Adobe Acrobat..
Browse your site and find the page where you want the resource to appear.
Note
When publishing documents and links, you have the choice of submitting them in two different ways, depending on how your site is configured. If you have contributor or content manager permissions on a component, you can publish resources directly on a page using the process outlined in this section. Or, if have permissions to the Extranet Resource Center, you can also publish documents and links from a centralized location. For more information, see Use the Resource Center to manage documents and links.
Resources are all contained in components. Therefore, the type of resource to which you can submit is determined by the type of components available on a page. Depending on which page you are on, different components might be available. Click the Add button on the component that corresponds to the type of resource you want to publish. A form is displayed for you to fill out. If the Add button is not available in the component where you want to publish, you do not have appropriate permissions on the component. You must have contributor permissions or content manager permissions on a component in order to publish to it. If the Add button does not appear, you should find a different page or select another component. Depending on what type of content you are submitting, the form will be different. For documents and web page links, you are prompted to provide information, such as its title, author, and description. For discussion messages, you are prompted to provide a subject and a message.
Important
By default, all resources are assigned the same security privileges as the component where they're published. However, for documents and links, you can assign custom security settings when you submit them for publication. In almost all cases, the default security privileges should be sufficient. You should only assign custom security settings on a resource when absolutely necessary.
After you submit the form, one of the following things can happen:
If collaboration is disabled on a component, your resource will immediately appear in the component you used to submit it.
If collaboration is enabled on a component, the resource will be placed in a Pending Items location for a content manager to review. A collaborative component is one in which content managers must approve resources before they're available to other users.
